NeverMissAMessage (“we”, “us”, “our”) provides an AI WhatsApp assistant for UK trade businesses. This policy explains what data we collect, why, and your rights under UK GDPR.

2. What data we collect
When a customer messages a trade business using our WhatsApp service, we collect:
- Contact details: Name, mobile number, WhatsApp profile name
- Enquiry details: Messages sent, postcode, job description, preferred callback time
- Media: Photos/videos the customer chooses to send about the job
- Technical data: Time/date of messages, delivery/read receipts from WhatsApp
We do not collect payment details, card info, or use the data for marketing.
3. How we use the data
We use this data only to:
- Enable our AI assistant to reply to the customer enquiry
- Pass the lead details to the specific trade business the customer contacted
- Monitor and improve assistant accuracy for 30 days after the conversation
We do not: book jobs, provide quotes, send unsolicited messages, or share data with other businesses.
4. Legal basis for processing — UK GDPR
We process data under Legitimate Interests: responding to a customer enquiry and passing it to the business they chose to contact.
For data retention beyond 30 days, we rely on Consent if the customer asks us to keep them updated.
5. How data is shared
- With the trade business: Lead details are sent to the plumber/electrician/roofer etc that the customer messaged, via email or SMS.
- With WhatsApp/Meta: Messages are processed via the official WhatsApp Business Platform. Meta’s Privacy Policy applies: whatsapp.com/legal/business-policy
- With subprocessors: We use UK/EU-based hosting and AI providers listed at nevermissamessage.co.uk/subprocessors. All have UK GDPR-compliant contracts.
We never sell, rent, or share data for advertising.
6. International transfers
Data is stored on servers in the UK. If subprocessors transfer data outside the UK/EU, we use UK International Data Transfer Agreements or EU Standard Contractual Clauses.
7. Data retention
- Active leads: Stored for 30 days to allow the trade business to follow up and for us to improve the service
- After 30 days: Automatically deleted unless the customer asks us to keep it
- You can request deletion anytime: Email hello@nevermissamessage.co.uk
8. Your rights under UK GDPR
You have the right to:
- Access — ask for a copy of your data
- Rectification — ask us to correct inaccurate data
- Erasure — ask us to delete your data
- Restrict processing — ask us to stop using your data
- Object — object to processing based on legitimate interests
- Complain — contact the ICO at ico.org.uk if you’re unhappy

9. WhatsApp Business API compliance
- Our assistant always identifies itself as an automated assistant in the first reply
- We only reply to customer-initiated messages. We do not send marketing or cold messages
- Customers can opt out at any time by replying “STOP”
- All messaging complies with WhatsApp Business Messaging Policy
10. Cookies & website data
Our website uses essential cookies only for security and performance. We do not use tracking or advertising cookies.
Website analytics are anonymised and do not identify individuals.
11. Changes to this policy
We’ll post updates here. If changes are significant, we’ll notify trade businesses using our service 30 days before they take effect.
